LAPLAND HOTELS TERMS AND CONDITIONS FOR RESERVATIONS
In order to ensure the best possible success of your stay, we will abide by the following terms and conditions for reservations, unless otherwise agreed. A hotel may deviate from these terms and conditions, in which case the deviating terms and conditions will be communicated separately upon booking.
TERMS AND CONDITIONS FOR INDIVIDUAL RESERVATIONS
The terms and conditions are stated in the booking confirmation. A booking confirmation can be delivered either verbally, in writing or directly through the booking system. Terms and conditions vary according to the price type booked. We mainly use an advance booking price or a flexible price.
Flexible price:
The cancellation terms are stated in the booking confirmation. They are usually eight days prior to arrival or by 6 p.m. on the day of arrival.
Advance booking price:
The accommodation is paid for in full at the time of booking and there is no right to free-of-charge changes or cancellations.
Cancellation and no-shows
Cancellation fees for all no-shows are 100% of the price of the reservation. Room reservations can be made only by persons aged 18 or over. Anyone booking a room for a minor is responsible for the booking and for the persons staying in the room.
For refunds, cancellations or changes to your booking, please contact the hotel concerned or our sales service at myynti@laplandhotels.com or tel. +358 (0)16 3232.
TERMS AND CONDITIONS FOR GROUPS OF MORE THAN 10 PERSONS
We apply group terms and conditions for reservations for more than 10 people. The reservation is confirmed by paying a booking fee at an agreed time according to the group terms and conditions, which are shown on the booking confirmation. The booking fee is non-refundable in the event of cancellation. A list of names and whom they will be sharing a room with must be supplied no later than 14 days prior to the date of arrival.
Method of payment for group services
The method of payment for services ordered for a group must be agreed in advance at the time of confirmation. A group reservation is billed on one invoice. Available methods of payment are invoicing in advance and credit card. For invoicing in arrears, a pre-agreed written credit agreement is required, which can be completed here
Group name lists
Group name lists must be supplied to the hotel no later than 14 days prior to arrival.
The name list must carry the following information:
• Name of group, time of stay, names and nationalities of persons staying, and whom they will be sharing a room with
• Contact information for group leader and estimated times of arrival and departure
• Special diets and other special requests
OTHER TERMS AND CONDITIONS
For compelling reasons, a hotel has the right to transfer a reservation to another accommodation site of at least the same standard after consulting with the customer. The hotel will reimburse the customer for the direct costs of the transfer.
If no booking fee is paid by the due date, the booking will be deemed to have been cancelled. The room is available from 3 p.m. Check-out must take place by 12:00 noon on the date of departure. Hotel bookings are not covered by the Package Travel Act. They are however covered by the Act on Accommodation and Food Service Activities. A hotel may deviate from these terms and conditions, in which case the deviating terms and conditions will be communicated separately upon booking.
All given prices are in euros and include Finnish value added tax (VAT) according to the VAT laws and regulations of Finland (Finnish VAT Act). All prices are based on requested period, group size, season, type and availability of Services and any other relevant element of pricing. Should there be any changes within the contents or the fundaments of the Services then Lapland Hotels has right, at its option, to change any price.
Lapland Hotels reserves the right to change prices in case of major increases in or due to the costs of supplies, currency, or fuel, and in case of change of value added tax (VAT) or other taxes. Any other essential changes for services or terms and conditions must be approved by both Parties in written before implementation.
INSURANCE
We recommend that our customers take out travel insurance in case of possible abnormal situations or occurrences. A hotel is under no obligation to accept cancellation without charge, for example on the basis of a medical certificate or similar.
FORCE MAJEURE
Lapland Hotels Oy has the right to cancel a reservation for compelling reasons due to force majeure (the hotel is unable to provide the promised services due to, for example, strike, fire, water damage, natural disaster, state of war, etc., which impedes the hotel's ability to operate). In such a case, the booking fee will be refunded to the customer.
